Financial & Support Services

 

Facilities Financial and Support Services provides a variety of services to the Facilities Division as well as the University. They monitor the financial health of the division by analyzing data and providing management with the tools they need to make decisions. They act as an internal resource for computer assistance by providing diagnostics and training for the various software systems used by Facilities personnel. They handle customer phone calls and work requests from faculty, staff, and students when maintenance issues arise. Moving services are provided across campus to support university events, student move in day, and office relocations. Central Receiving provides warehouse support to the campus by receiving large deliveries and handling Surplus Property. This area also oversees the campus shuttle bus service.


Areas of Service: 

Financial Management

Financial Management acts as a liaison with the Administrative and Finance Division to secure funding for new projects, create SAP accounts that will accurately track the revenue and expenses of new projects, track budget and personnel, and provide support for the year-end closing of the books. They oversee the administration of the Work Order system in order to produce chargeback information for Finance and ensure non-maintenance costs are recovered. They submit various reports required by the State System Office and those needed for funding reimbursements.

 

Work Control

Work Control is the front line customer service representative for Facilities, handling over 14,000 work orders each year. Work requests are screened and converted into work orders, then assigned to the appropriate shop or department for execution. For our management software, we use the Enterprise version of TMA. Work requests are submitted via web browser through iService Desk.

 

Information Technology & Safety

The TMA system is among several of the division's hardware and software resources supported internally by our Facilities Data and Safety Technician. Custom reports and data interfaces are recurrently created and updated for management use. He also acts as a liaison with the IT department, maintains the Facilities website, and serves as coordinator for the divisionís safety matters.

 

Shuttle Bus Service

The University operates a shuttle bus service between the Main Campus and various South Campus destinations, such as the Health Sciences Center, student parking lots and student apartments. The bus service operates seven days per week when classes are in session during the Spring and Fall Semesters, and on a limited basis during Summer School. Moving Services

The Moving Services team works diligently to provide a variety of services for the university. They deliver tables, chairs, and equipment needed for special events as well as move furniture from one campus location to another. They provide lockable toters for the shredding of confidential papers and they temporarily store important university records. They are a vital resource in preparing the residence halls for student move in day each fall.

 

Facilities Stores

Facilities Stores maintains the TMA Central Stores ordering and control systems to provide storage, ordering, stocking and delivery of high-volume items used by the Facilities departments. They provide Central Receiving services for the campus by receiving large items and then delivering them to individual departments. They support the handling and disposal of Surplus Property.
