System Questions
@ While working in
SAP I've received a notice that I have been "timed out" and the system
closes down. What can I do to prevent that?
Answer - This is not
controlled locally. It is a system default (1 hour time limit)
established for all 14 universities. Please note that any activity
within the SAP system will reset the clock to zero, so even just pulling
down a menu item periodically will start the 1 hour time period over
again. There are several reasons that the 60-minute time-out is in
place. One of the most obvious reasons, which needs no explanation, is
security. Clicking the Enter icon will start the 60-minute
internal clock all over again.
@ What is the best
workstation screen resolution for using the SAP GUI?
Answer - A screen
resolution of 1024 x 768 picture elements minimizes scroll bars and
displays more SAP screen and report information. To set: Right click on
a blank area of the Desktop > Properties > Settings tab > Screen
resolution > drag the slider bar to the desired resolution.
@ What is an SAP
variant?
Answer - A variant is
simply an SAP report where the parameters for running the report have
been set by the user and then saved with a unique name. This allows
future retrieval and execution of the report faster without re-entering
the parameters. As a convention the variant name should start with with
the digits 75 so searches for WCU variants are easier and quicker.
Financial/budget variants should start with your fund center number
(which also starts with a 75).
@ How frequently
must I change my SAP logon password?
Answer - The SAP system
will require you to change your logon password every 30 days. This
is a PASSHE-wide rule established by SyTEC.
@ When
logging into SAP, I typed my logon name incorrectly a few time and these
keep showing up in the drop down history. Is there a way to get
rid of these entries?
Answer - You can delete incorrect (or
unneeded) history items in any field. To do this, roll your cursor over
the text you would like to delete...but do not click on the text.
Once your cursor is over the text and it is highlighted, simply press
the Delete button on your keyboard.
@ What information is required to request the creation of a new SAP fund center / cost center?
Answer -
To submit a request please utilize this on-line form
This form will prompt you to provide the following pieces of information:
a) Provide a 20 character description
b) Provide a 40 character long description
c) Identify the parent fund center / cost center number
d) Identify the parent fund center / cost center name (to help confirm the #)
e) Provide the fund center / cost center manager name
f) Provide the fund center / cost center manager's SAP user-id (Example: 75khusar)
g) Identify the type of fund center / cost center (corresponds to PSoft Program ... EG, faculty development, scholarship, initiative, etc.)
h) CCARs code <Link to CCARs File>
i) Provide a detailed description for the source of funds
j)
Provide the name of a contact person for the fund center / cost center (Typically, this is not the fund center manager.)
Note: Items c,d, and g can be specified in PeopleSoft terms.
The request then needs to be approved by the Director of Finance and Business Services and the Budget Director.

How do I run the financial reports I need?
Answer - Prior to running reports, you will need to attend both Basic Naviagation Training and Financial Reporting Training. During these sessions you will be trained on the skills necessary for running reports. A schedule of training session is available here.

What information is available?
Answer - All data that is tracked by SAP and is relevant to your budgets, expenses, and encumbrances will be available to you. The users will log directly into SAP to access this data.

What training do I need to receive if I'm going to be using the SAP financial system ?
Answer - All users of SAP financials will need to receive Basic Navigation training. Users that wish to view budget and expense information will need to attend Reporting training. Users that will be utilizing the on-line requistion process will need to attend requistion training.
