Zoom forced a requirement that all their clients be on version 5.17.5 or higher preventing many users from being able to sign-into or use Zoom.

University owned devices have been updated to the latest release, Version 6.2.6.

Please be advised that all employees will be enrolled in a 2024-2025 Cybersecurity Awareness Training course next week. PASSHE Executive Leadership Group (ELG) mandated that all universities provide and require IT Security Awareness training for their faculty, staff, and students.. The employee training and management program is also required to comply with the US Department of Education GLBA requirements.

On Wednesday, October 2, 2024, all employees will receive an email from WCU Office of Information Security to complete a training module, WCU 2024-2025 KnowBe4 Security Awareness Training - 30 minutes which is hosted on KnowBe4, WCU's Information Cybersecurity Awareness Training and management platform. The training module includes a video with embedded question prompts and takes 30 minutes to complete. All Employees should complete the training module by Friday, December 6, 2024.

Phishing and scam emails are deceptive messages designed to steal your personal information, such as passwords, credit card numbers, or Social Security numbers. While these messages are increasingly sophisticated, there are key signs that can help you identify them.

Stay safe by keeping the following in mind:


1. Suspicious or Unfamiliar Sender: Check the sender's email address. Phishing emails often come from addresses that look similar to legitimate ones but may have slight variations or domain names.

2. Urgent or Threatening Language: Scammers often use urgent language to pressure you into quick action, like clicking a link or providing sensitive information.

3. Unexpected Attachments or Links: Be cautious of emails with unexpected attachments or links. Hover over links to see if the URL looks legitimate before clicking.

4. Requests for Personal Information: Legitimate organizations will never ask for sensitive information like passwords or credit card details via email.

5. Job Offers: Scammers often send fake job offers promising large amounts of cash for limited work. If it seems too good to be true, it usually is.

6. Impersonation Attempts: The message is attempting to impersonate West Chester University and is known as a Spear Phishing Campaign, where bad actors use an external email address disguised as a known entity with position of authority (for example, President, Vice President or Dean of the university) to create a sense of urgency tricking you into responding over email communications.

When you spot a Phish or suspect a Scam, take the following steps to protect yourself:

2. Don't Click Links or Download Attachments: Avoid clicking on any links or downloading attachments in the email.

3. Report the Email: Forward the suspicious email to the IS&T Help Desk at helpdesk@wcupa.edu or call 610-436-3350.

4. Delete the Email: After reporting, delete the email from your inbox to prevent accidental interaction with it.

Information security is a critical priority for West Chester University. Some members of the University community have recently reported that fraudulent tax returns were filed in their name. Investigations to date by the Information Services and Technology (IS&T) team, together with its longstanding and trusted cybersecurity partner, have shown absolutely no signs of any individual accounts being compromised for its 17,000+ students or any other evidence that ties WCU directly to any fraudulent activity.

With a broader national trend in data breaches, the small number of cases (30) that are experiencing issues are being advised to follow IRS guidelines related to fraudulently claimed dependents: https://www.irs.gov/identity-theft-fraud-scams/identity-theft-dependents. The University works diligently to educate and train its campus community on how to avoid Internet fraud.

A new phishing email is circulating with the subject [REVIEW MESSAGES] - this is a fake message. An image of the phishing message is attached to this email. Please do not click any links or respond to the email.

The message is attempting to impersonate West Chester University and is known as a Spear Phishing Campaign, where bad actors use an external email address disguised as a known entity, to create a sense of urgency over alleged missed email communications.

In this case, the bad actors have also attempted to mimic WCU's MFA splash page tricking unsuspecting users to enter their credentials.

Best Practice: Always verify the sender and sender's email address and when in doubt call the person to confirm. Please do not click any links or respond to the email. Never send passwords over email and do not reply to messages soliciting personal information.

Keeping your Zoom meetings safe and secure ensures the best possible experience for your attendees whether in virtual classrooms, office hours, or departmental meetings. Zoom has a number of ways to secure your meetings against uninvited guests. Here are some simple tips to protect yourself and your attendees from such intrusions:

-Do not share the details of your zoom session (such as the link to the meeting) in public spaces such as social media. In general, limit your communication to attendees to D2L or WCU email.

-For larger meetings, adjust your meeting security settings to allow only authenticated users to join.

-Avoid using your Personal Meeting Room for recurring sessions and meetings.

If you do end up with an uninvited guest or disruptive participant in your Zoom session, don't panic. You can take the following steps:

-Quickly suspend participant activities via the Security panel.

-Remove the uninvited guest via the Security or Participant panel. They will not be able to rejoin the existing session.

Please be advised that fake invoice scams have been circulating as bad actors are intensify their efforts to trick unsuspecting users into sending them money, gift cards and other valuables. These scammers can also attempt to connect to your device to steal your credentials, inject malware, or obtain credit card information.

Remember to think before you click. If you ever get an invoice for a charge you weren't expecting, do not call the number or use any contact information provided in the email or invoice. If you are unsure who an email is from (even if the details appear accurate) or if the email looks "phishy" do not respond and do not click on any links or attachments found in that email.

The Duo authentication prompt will have a new look and streamlined verification process to help you quickly access applications. Please note that the most secure and recommended authentication method is a Duo Push which uses the Duo Mobile App. Also note that the Call Me method for authentication will no longer be offered after August 2nd, but the text messages passcode option will still be available.

Bad actors are intensifying their efforts to trick unsuspecting users into scams that can steal your credentials, inject malware onto devices, or obtain credit card information by falsely selling products. Limit what information you post on social media. Popular quizzes often ask users a series of shareable personal questions, ranging from the name of their pet, childhood best friend, first grade teacher or their birth city. Some people see them as a fun way to bond with friends, but many of these queries are similar if not identical to security questions used when setting up accounts at banks and other organizations. Keep Social Security numbers, account numbers, and passwords private as well as specific information about yourself such as your full name, address, birthday, etc.

Cyber criminals use phishing tactics hoping to fool their victims. Stay protected while connected.
Before you connect to any open/public wireless network (like at an airport, hotel, or cafe) be sure to confirm the name of the network and exact login procedures to ensure that the network is legitimate. If you use an unsecured public access point, practice good internet hygiene by avoiding sensitive activities (banking and shopping) that require passwords or credit cards. Using a personal hotspot or cellular data is often a safer alternative to free Wi-Fi. Only use sites that begin with https:// when online shopping or banking.

West Chester University's RamNet WiFi is a secured network. It is secured by an enterprise network authentication protocol called 802.1X. Using this protocol, all network traffic, including usernames and passwords, are encrypted during transmission. During the connection process, usernames and passwords are checked to verify that the user is an active member of the WCU community. Once confirmed, appropriate network access is assigned based off network needs and requirements. WCU Transitioning to Modern Authentication
Currently WCU's Office 365 environment allows users to authenticate using Basic Authentication as well as Modern Authentication. Microsoft plans to retire Basic Authentication and has encouraged the full adoption of Modern Authentication. To improve security and ensure usage of MFA, WCU will move to Modern Authentication and will disable Basic Authentication for students starting October 14, 2021, and followed by employees during the month of November. What is Changing:

The changes will activate both single sign-on (SSO) and multi-factor authentication (MFA), and will be integrated with each universities' MFA systems (Duo for WCU). This will enable seamless access to next-generation technologies including SourcePoint (Ariba) and the State System's upcoming mobile-capable portal.

Users will be presented with a new login screen from which they will select their authentication organization (West Chester University). Once selected users will be redirected to our familiar WCU SSO page to enter their user login credentials.

Once logged in, users can navigate the portal as they already do today. SourcePoint and other applications will not request further authentication. The updated portal will be available starting on March 20th.

Please be advised that last week Apple announced a new Operating System upgrade for Mac users. This upgrade, referred to as "Big Sur" includes several security upgrades which conflict with some of the software we use on campus, most notably Sophos and the Cisco AnyConnect VPN Client. While we work with Sophos, Cisco, and other software vendors to resolve software incompatibility, we ask that you delay or refrain from updating your Mac Operating System for at least 45-60 days. Over the next two months, software vendors will release updates to their products that IS&T can make available so that there is no disruption of productivity.

As part of the Converged Communications (RamPhone) Project, all voicemail boxes, including yours, will move to a new voicemail platform called Cisco Unity Connection on Wednesday evening, November 18th at approximately 9:00 PM EST. Over 100 users are currently using the new system and have found the transition to be "clear and easy".

We would like to introduce you to the new WCU voicemail system Cisco Unity Connection, a robust unified messaging and voicemail solution that provides users with flexible message access options. It lets users access and manage messages from an email inbox, Cisco Jabber, Cisco Unified IP Phone, or smartphone. Again, your voicemail box will be moved to Cisco Unity Wednesday evening, November 18. We have endeavored to make the transition as seamless as possible by copying your current voicemail greeting over to the new Cisco Unity system. The only thing you must do to access this is set a new PIN. All PINs have been reset to a default of 000000 so please set a new PIN as soon as possible for security reasons, following the transition on Wednesday evening to the new system.


* Your voice messages will continue to be sent to your email inbox. No change.

* The easiest way to access your voice messages if you are not listening to them through your email, is using the Messages icon in Jabber or the Messages icon on your desk phone. You may also dial 610-436-2232.


What do I need to do?

1. On or before Wednesday, November 18th, retrieve any messages on the old system (not necessary if you receive your voice messages via email).

2. On Thursday, November 19th, please reset you PIN right away.


How do I access my new voicemail box? (3 different ways)

1. Press the Messages icon on your Jabber dashboard (the voicemail icon looks like a cassette tape).

A malware campaign is being sent to campus via email. This email asks you to click on a link for a Word Document. Once you open Word, you will see an image like below. DO NOT ENABLE Macros or click on the options to perform the upgrade. This is not how Office upgrades happen. Clicking on the links or enabling the macros could expose you to a virus called Emotet.

Emotet is a known malware that becomes the way in for Ransomware attacks. Most up-to-date antivirus software (i.e. Sophos) should be able to detect this and prevent things from happening. However, there is always a chance that Emotet has modified itself and the antivirus software will be unable to detect it.

Best Practice is to only open Word Documents that you are expecting. Also, do not enable Macros in any Office documents unless you know where they came from. Most Word documents that you work with every day, do not have macros running.

Over the last two weeks, some users have experienced degraded performance issues with our streaming media service called Kaltura. We know several programs rely heavily on this service and IS&T has been actively engaged with Kaltura about this issue. We would like to take this opportunity to update the campus on the current status and provide additional context as to why this occurred.

What Happened and Why

Kaltura has seen usage surge across its customer base over the past four months as educational institutions leverage the power of online video to work, learn, and collaborate safely from home. To meet this unprecedented rise in demand, and to ensure the best possible service for their customers, Kaltura accelerated the timeline of their deployment plan to migrate from their SaaS solutions to secure public cloud hosting infrastructure powered by Amazon Web Services (AWS). This infrastructure project was not expected to impact or interrupt the services from Kaltura. The actual cutover to AWS was completed between August 29th & 30th. While the main parts of the migration have been achieved, Kaltura continues to work towards performance optimization.

Pennsylvania State Employees Credit Union (PSECU) is aware of a scam targeting financial consumers (including PSECU members) across the U.S. and Canada. Fraudsters pose as bank representatives in an attempt to deplete accounts and/or advance lines of credit. Please read below for information on how to safeguard yourself from this scam.

How does this scam usually work?
* A fraudster calls you and pretends to be a representative from your financial institution. They might sound like your financial institution. Don't trust caller ID. Calls, texts, and emails can be easily "spoofed" or faked.
* The fraudster then attempts to verify a transaction you did not make to gain your trust. They offer to order you a new card. * You are then asked to provide personal or sensitive information, such as your user ID, full or partial Social Security number, PIN, full or partial card number, or account number.
* Once a fraudster has this information, they will log into your account, transfer funds, and use counterfeit cards to withdraw funds at the ATM or make purchases.

PSECU will never contact you to ask for any of the following information:
* PSECU account number
* Account PIN
* User ID
* Mobile/online banking password
* Credit/debit card CVV number
* Credit/debit card PIN
* Social Security number (full or partial)

What should I do if I'm contacted?
If you receive a call, email, or other communication from someone claiming to represent a financial institution (including PSECU) asking for the information listed above, please do not engage. Instead, contact your financial institution using published phone numbers on their website to ensure the security of your account.

What can I do to protect myself?
* Always call your financial institution directly to verify account status or transactions. If you receive a call, text, or email from a party claiming to be your financial institution, do not provide any account information.
* Think before you act. Be wary of communications that play on fear (frozen bank account or fraudulent transactions), request urgent action (act immediately), request personal information (PIN, SSN, account numbers, etc.), or offer deals that sound too good to be true. If you're ever unsure, hang up and contact your financial institution.
* Never share any password, passcode, or PIN, even if they are temporary or one-time codes. Financial institutions do not need to ask for your password, and one-time passcodes should only be entered into a system when you are confirming it is your activity.
* Set up account alerts to notify you of activity on your account. PSECU offers free account alerts to notify you when a new mobile device is used to access your account, a purchase is made, or card limits are raised.

All active student mailboxes and 90 percent of staff mailboxes have been successfully migrated so far. IS&T is now preparing to complete faculty mailboxes, and the remaining staff mailboxes by the end of December 2019.

Prior to being migrated, you will be notified when your account will be moved. Once the migration is complete, you will receive a follow up email. Mail will continue to be available during the transition. Beware of phishing scams!You will not need to do anything to activate, validate or expand your account. A new email scam is circulating with varying subject lines like Hello where the sender asks the recipient if they are on campus or available to help. If the recipient responds, the sender expresses a sense of urgency to get the recipient to react immediately. For example, a common request from the sender is to go out and purchase gift cards and provide the numbers on the back of the cards because the sender is too busy to go out or is in a meeting. If you receive an email like this, it is probably fake. An example of one of these emails is included as an attachment to this email.

The first suggestion is to verify the email address of the sender. Many times the display name on the email is the name of someone at WCU but if you hover the cursor over the display name or verify the email address of the sender on the email message, it is not a WCU email address, but an external email address from a provider such as Gmail, etc. The second suggestion is to contact the person by calling them directly or creating a new email to them at their actual WCU email address to ask them if they contacted you. Then you will know how to respond and you can simply delete the email if it is not authentic.

Attention students: In 2018, Chegg.com, a company that offers textbook rental and tutoring services suffered a data breach resulting in the loss of 40 million customer records which included full names, email addresses, usernames, and passwords. Now the results of Chegg's 2018 data breach have been publicly exposed online, which poses a substantial threat. 330 WCU Student Accounts have been identified as part of this breach. For students whose accounts have been identified as part of the breach, an additional email will be sent with reference to this Official Notice.

Below are some hints on proper password handling:


1. Do not reuse the same password on multiple sites. Especially don’t use the same password on social media that you use for sites used for banking, education or shopping.

2. Change your passwords when you even suspect your account may be hacked.

3. Select a passphrase instead of a password so that it is longer than 12 letters and numbers.

As you may be aware IS&T is in the process of migrating all existing email mailboxes to Exchange Online, part of the Office 365 cloud.  This migration is referenced in Official Notice 20190514-146. All active student mailboxes were successfully migrated over the summer. IS&T is now preparing to migrate all staff mailboxes this fall.

Prior to being migrated, you will be notified when your account will be moved. Once the migration is complete, you will receive a follow up email. Mail will continue to be available during the transition. Beware of phishing scams! You will not need to do anything to activate, validate or expand your account. LinkedIn Learning Upgrade Complete

On Wednesday, July 31, IS&T upgraded LyndaCampus to LinkedIn Learning. LinkedIn Learning, which acquired Lynda.com, has the same great content but provides an even more personalized experience. Now that the upgrade is complete, you will no longer be able to access LyndaCampus — instead you will be redirected to LinkedIn Learning. Don’t worry, all your learning activity and history from LyndaCampus was seamlessly transferred to LinkedIn Learning.


Activating your LinkedIn Learning account

Current LyndaCampus users received an email from LinkedIn Learning on July 31 with a link to activate their LinkedIn Learning accounts. If you are not a current LyndaCampus user or did not receive an email, simply visit https://wcupa.edu/LinkedInLearning to learn more and log in. Here are some tips to successfully activate your account and begin enjoying LinkedIn Learning:


1. For the very best user experience, log out of your LinkedIn account prior to activating your LinkedIn Learning account.

2. After clicking the link to activate your account, you will be directed to the WCU login page, where you can enter your credentials.

3. Upon activation, you will have the option to connect your LinkedIn profile or create a separate Learning account. As a follow up to our IS&T Notification regarding the Zoom Video On Vulnerability on 7/9/2019 found at: https://wcupa.edu/infoServices/notices/?n=20190709-161, Zoom has released a patch that will do the following:

1. Remove the local web server entirely, once the Zoom client has been updated

2. Allow users to manually uninstall Zoom

This will be a prompted update for MAC only, not a forced update - meaning after a user leaves a meeting they will be prompted to update the client. The new client UI will also display that a new update is available. The MSI install for MACs will be updated as well.

On Monday, July 8, 2019, Zoom released a response to a report in March 2019 where a security researcher notified Zoom of some concerns related to the Zoom meetings platform:

1. AUTO JOIN VIA ZOOM LOCAL WEB SERVER (MACS ONLY) Zoom installs a local web server on Mac devices running the Zoom client. This is a workaround to an architecture change introduced in Safari 12 that requires a user to accept launching Zoom before every meeting. The local web server automatically accepts the peripheral access on behalf of the user to avoid this extra click before joining a meeting. We feel that this is a legitimate solution to a poor user experience, enabling our users to have seamless, one-click-to-join meetings, which is our key product differentiator.

2. LOCAL DENIAL OF SERVICE VULNERABILITY (MACS ONLY) The security researcher identified a local denial of service vulnerability. A hacker could have potentially targeted a Mac user who already had the Zoom client installed with an endless loop of meeting join requests, thereby causing the targeted machine to lock up. We have no indication that this vulnerability was ever exploited and we released a fix for it in May 2019.

There are 2 steps that all users may want to consider: 1. Update to the latest version of Zoom (on all Operating Systems) when prompted by Zoom. 2. Use the settings options in Zoom to turn off your camera by default.

Starting the week of May 20th, IS&T Infrastructure Services will begin migrating all active student accounts and continue throughout the summer. Faculty and Staff mailbox migration will start in the fall.

Moving email to Microsoft's cloud offers a multitude of benefits including greater reliability and stability, increased mailbox sizes, and better integration with other Office 365 services and applications such as OneDrive, Sharepoint and Teams.

Mailboxes will be moved in batches. Prior to being migrated, you will be notified when your account will be moved. Once the migration is complete, you will receive a follow up email. AT&T cellular service to the WCU Campus

Construction activities, of The Sciences & Engineering Center and The Commons, are well underway. As planned, the cellular service companies were to relocate their equipment and antennas from the decommissioned boiler plant and exhaust stack to the water tower. Over winter break Sprint, T-Mobile and Verizon completed the relocation of their equipment to the water tower, however AT&T chose to install temporary mobile antennas on North Campus while they completed an upgrade and installation of new transmission equipment and antennas, now located on the water tower. The result of this approach decreased AT&T's cellular signal strength in the West Chester area. This weakened signal strength is notable in some buildings around North Campus even to the point of no service in certain areas, particularly on the western and northern edges of the construction site. AT&T is aware of this situation and has committed to a marked improvement in their quality of service by the end of this week. The complete upgrade is expected to be in place by the end of May. Concerns and questions can be directed to the AT&T wireless representative or the undersigned.

The PASSHE contract for Blackboard Collaborate ends Saturday, June 30th and will no longer be accessible for use. Starting Sunday, July 1st Zoom Video Communications will be the primary Web-Conferencing tool for faculty teaching online and blended courses. PASSHE has a 5-year agreement with Zoom. To create your WCU Zoom account, simply login to https://wcupa.zoom.us using your WCU login credentials.

Transitioning from Blackboard Collaborate: The Zoom platform was built with accessibility and mobility at the forefront. This means that it adapts to different screen sizes and looks great on laptops, tablets and smartphones. You'll find it much easier to access meetings, and collaborate with students.

West Chester University is now offering Microsoft Office 365, a toolset that includes the Office productivity apps such as Word, Excel and PowerPoint, as well as others to all active WCU Students, Faculty and Staff. Office 365 also includes OneDrive, a cloud storage solution with 1TB of space where you can store and sync files. OneDrive makes it easier for you to access and share individual files from any device.

To get started, go to https://office.com and sign in using your WCU username and password. Once you are signed in, choose from a variety of Microsoft Apps, install Office apps onto your personally owned device, or access and share files synced to OneDrive. The best course of action at this time is to UNINSTALL the product.
